It was a pleasure speaking with you on Friday concerning the upcoming Austin Food &Wine Festival Event from April 27th, 2011 through April 29th, 2011. We appreciate the invitation for this proposal and the opportunity to provide our expertise to assure you and the dealership a successful and pleasant event. As we discussed, Carey is all about partnerships. Our main goal is building long term relationships with our clients and ultimately gaining your trust and obtaining referrals.

Based on our years of experience, we have found this type of event can be a bit complex when you have a car sponsor that is considering “Driver -Volunteers”  in lieu of "Certified Chauffeurs". We find the difference between the two personas to have a huge impact upon the client’s experiences and good customer service satisfaction. We contribute the difference to Carey’s "Brand of Standards" which employs chauffeurs that are experts in areas such as: “Law of the Land”, Airport Protocol, Vehicle Staging, Greeting, and non-disclosure etiquette (Talent), (to name a few). There are so many rules and permits, not to mention situations that can occur when we are not in control; we find it difficult to guarantee success. Incidents,such as a traffic jams, flight changes, accidents, without expertise involved, can be a setup for failure…causing the client undue duress and ultimately dissatisfaction. Carey chauffeurs are trained to respond with our “quality assurance program” and have pro-active communication with our Dispatch Center and Coordinators, eliminating issues before they become incidents.  

 

After visiting with you and getting a better understanding of your needs, we feel based on our experience, it is best for us to propose the following to assure your needs are met and you experience a successful event. Please review this turn key proposal which is broken down into three components compiled of Transportation Event - Management, Fleet Management Services, and Chauffeur Services. Since this event is scheduled during the busiest time of the season for Livery services, we want to assure you our availability, we would like to help in any way to confirm this reservation for our services as soon as possible.

I   Transportation - Event Management

 

Our Transportation – Event Management Department will assign a dedicated “Team of Experts”  which we refer to as “Feet on the Street”. This team of experts provides a  “Turn Key” product for all aspects of the vehicle transportation services customized for this specific event. The designated “Point of Contact Coordinator” is the liaison between your company & Carey to assure open and direct communication throughout the myriad of group services necessary to provide prompt, professional transportation for your clients' needs.

 

Our coordinator will be at your service to assure a stress free successful event including but not limited to coordinating permits, vehicle pick ups, storage, detailing, 24/7 dispatching, staging, insurance, and signage…

Service  $1,000.00 per day 4 Day Minimum

 

 

 

 

II    Fleet Management Services

 

Our Fleet Management Service team will handle every aspect of the sponsorship fleet, from the original pick-up point all the way throughout the event to the return of the Vehicle to Dealership.

 

 


  • Contract Promotional Agreement / Carey and Dealership
  • Comprehensive Liability Insurance
  • Secure Vehicle Documents for Loan of Vehicle including Terms and Conditions
  • Signed copy of Safe Driving Program (3 year ).
  • Inspection of vehicles - documents & mechanical.
  • Before and after vehicle photographs.
  • Provide representative for inspection (without representative, rights are waived at inspection)
  • Communication avenues to notify division and ESIS claims of damage after inspection.
  • Hand-off delivery of vehicle.
  • Secure (gated) storage for all vehicles
  • A Guarantee that vehicles are driven for promotion only
  • Maintain Commercial General Liability Insurance including contractual Liability.
  • Above-minimum insurance limits.
  • Insurance policy placed in each vehicle.
  • Provide workers compensation.
  • Vehicle is inspected and detailed daily - 2X daily weather dependent
  • Fuel not included in price
  • This is a partial list including but not limited to items covered by Fleet Management Services.

Fleet Services $ 100.00 per day = $900.00 daily (3 day min.)

 

 

 

 

III  Chauffeur Services

 

 

Chauffeur Services will schedule, manage, assign & dispatch communications for all chauffeured labor services necessary to assure a successful event & customer satisfaction.

Chauffeur hourly rate including gratuity, insurance and workman's comp.

In closure, I know we discussed the possibility of 2 plans, one Turn Key and one "a La Carte", but after careful consideration, we feel turn key is the best solution for this type of event. With third party drivers, our concerns lie within situations that could arise beyond our control reflecting poorly upon our reputation and in the end ,your reputation. Therefore, we feel turn key is the best solution for this project. Should you choose not to accept our proposal we still greatly appreciate the invitation and would like to retain "Goodwill" with Food and Wine in hopes of you keeping us in mind for any future events?
